Time is Money

Some legal practices may consist of just an attorney and a legal secretary, but most will likely have many, many more people on staff.  In any case, a legal administrator has numerous duties from financial oversight to human resources.  A seemingly small area is keeping track of employees’ time and their attendance, but in reality this can be a huge burden for an administrator.  Are the employees at work?  Are they on vacation?  Did they clock in on time?  Did they take a long lunch?  Tracking time is a key business function, but is often difficult to manage.

Despite the impact proper time keeping has on a business, over 40 percent of organizations have not automated their timekeeping.  With that said, it’s easy to see most practices don’t realize how much money they waste on sub-optimal timekeeping.

  • According to the American Payroll Association (APA), companies that lack automated timekeeping have up to an 8 percent error rate on their payroll.
  • The APA states that 4 hours and 5 minutes are wasted per employee, per pay period taking long lunches, being tardy and leaving early.

Your legal practice knows how important timekeeping is on a per-case basis for proper billing.  Here are some tips on what you should look for in a time and attendance solution.

  • The system should have the capability to capture assignments, projects and expenses regardless of the employee or office location.
  • It should be designed to identify and alert you of potential payroll issues before they occur.
  • The system should interface seamlessly with your payroll platform.
  • It should maintain employee data in one secure location.
  • The system needs to ensure compliance with all state and federal labor laws and regulations.

It’s easy to recognize the important role a time and attendance system plays by saving time and eliminating the risk of errors with manual tracking.   Utilizing technology to collect and organize your employees’ time data simply and accurately ultimately saves you time and money, and provides an accurate accounting of billable time.
