Greetings,

As we approach the end of second quarter (Q2) 2016, we want to ensure overall readiness for filing accurate tax returns. In preparation, please review the following information and suggested actions.

State ID number – confirm all state and local tax jurisdictions have account numbers. You can confirm the tax identification number by viewing the Tax Maintenance section of the application. If we do not have all your state tax identification numbers (Withholding and State Unemployment Insurance), you will be charged $100.00 per tax jurisdiction.



State unemployment rates – confirm we have your 2016 state unemployment rates. You can confirm the rates by viewing the Tax Maintenance section of the application, or on your latest payroll summary report under the Employer Tax section.

Note: Penalty and interest is your responsibility if any tax payment is late due to missing state identification numbers, incorrect rates or invalid Social Security Numbers.



Employee Social Security Numbers – confirm all employees have a valid Social Security Number. You can confirm Social Security Numbers in the Employee Maintenance section of the application.



State updates:
  1. WA, WY, OR & NM-workers’ compensation – Infinisource can impound and file this tax as part of our full tax service. Please be advised it is your responsibility to ensure that all employees have a class code and all class codes have 2016 rates. For convenience, the application will allow you to set a default class code for future hires. Infinisource will impound the liability as it is incurred with each payroll.

  2. Louisiana Unemployment – Now requires that each employee with LA wages have a rate of pay and an occupational code. Infinisource has the hourly/salaried information in the iSolved application to fulfill the rate of pay requirement. A list of the Standard Occupational Codes is available online at http://www.BLS.gov/soc

Q2 2016 payrolls and adjustments – all payrolls and adjustments for Q2 2016 must be completed before any Q3 payrolls can be processed. It is important to know that there will be a $100 charge to reopen your second quarter payroll records after June 30, 2016.

A few important points to remember:

  • Payroll processing two days prior to check date-remember payrolls must be processed at least two days prior to pay date to allow sufficient time for payroll funding. Due to strict banking rules, we will not make exceptions to the two day rule. If you do not process payrolls and/or adjustments a minimum of two days prior to June 30, 2016, you may be required to wire Infinisource the funds to cover the payroll.
  • Payroll adjustments-make sure payroll adjustments (e.g., voided checks) are done before any Q3 2016 payrolls are processed.
